Medical Records Clerk

Job Summary

The Medical Records Clerk/Backup Phone Operator is responsible for creating new medical records, retrieving existing medical records by gathering appropriate records from a variety of locations (i.e. faxes, hospitals, etc.); processing all requests for FMLA paperwork, Attorney Subpoenas and disability forms.  In addition, is responsible for functioning as the phone operator by answering all incoming calls, consults, etc. coming into the practice.

Duties and Responsibilities:

Medical Records:

  • Maintains accurate patient charts by scanning patient records electronically or via paper into patient’s electronic chart and provider queue where applicable

  • Maintains interdepartmental work flow by routing all faxes to appropriate staff via email, scanning into patient charts, etc.

  • Sort, date stamp and distribute all incoming mail according to established protocol, opening approved mail where appropriate

  • Processes all FMLA, attorney subpoenas and disability paperwork

  • Process all verbal and written medical records release requests

Phone Operator:

  • Directs all incoming calls to appropriate departments / staff member

  • Processes all messages from overnight answering service

  • Receive all new consultations throughout the day; pages consult and updates logs as required

  • Generate and update provider hospital cards

  • Prepare on-call coverage for evening and weekends

  • Inform physicians for next day schedules

  • Addresses calls efficiently through proper screening process and with timely response

Knowledge, Skills, Abilities
  • Knowledge of EMRs and Microsoft Office and medical oriented EMR software

  • Knowledge of navigating hospital EMR web sites

  • Prior experience as a phone operator on a multi-line phone system, preferred

  • Strong knowledge of medical records and terminology; hematology and oncology knowledge a plus

  • Strong organizational and interpersonal communication skills

  • Ability to maintain confidentiality

  • Knowledge of HIPAA and Security Regulations

  • Excellent attention to detail

Education/Experience

High School Diploma and a minimum of 1- 3 years’ experience in clinical/clerical electronic medical records.
