Medical Records Clerk /Back up Phone Operator

Job Summary

Supports providers with timely access and importing of medical records.

Job Description
  • Ensures quality service/assistance to patients or other individuals who call into the office by either transferring their call or taking thorough messages so that the requested individual can call back as soon as possible prepared to answer any questions.

  • Assists physicians by placing calls at their request and fielding the physician incoming calls appropriately, interacting with the different departments as needed. 

  • Manages hospital consults by gathering required information from callers and notifying the correct physician/extender ASAP and following up that service is or will be provided.

  • Helps to maintain accurate hospital patient information for the physicians by updating hospital cards daily.

  • Tracks physician sign in and sign out daily for previous day to insure billing compliance.

  • Ensures that patients will receive accurate reminder calls for their care by managing the automated reminder call system.

  • Verifies that automated answering service information is updated each evening with proper schedule reports; manages morning follow up of calls.

  • Reviews hospital patients on schedule within 3 days to establish attending status to minimize no shows and unnecessary drug orders.

  • Assists the physicians on a daily basis by reminders regarding their schedule as well as answering any questions they may have regarding their schedules, phone messages, meetings, hospital consults etc.

  • Preserves quality service by following organizational standards and maintains patient privacy by keeping all information found in patient file confidential.

  • Acute attention to detail

  • Electronic skills

  • Knowledge of EMRs, internet search skills and Microsoft Office

  • Strong knowledge of medical records and terminology; hematology and oncology knowledge a plus knowledge of HIPAA and Security Regulations


High School Diploma and a minimum of 1- 3 years’ experience in clinical/clerical electronic medical records.
