Summary of Position:

Primary responsibility will be the assessment of patient financial requirements, and counseling patients on insurance benefits and co-payments prior to treatment as well as arranging a method of payment for services rendered.

Duties and Responsibilities:
  • Prepare a cost estimate outlining the patient’s out-of-pocket responsibility for treatment.

  • Perform financial counseling process on all patients prior to treatment, which includes patient financial obligations, review of practice billing practices and establishing payment arrangements. 

  • Verification of patients benefits with insurances and obtain insurance authorizations.

  • Track patients with high deductibles and co-pays and seek outside financial assistance if necessary.

  • Meet with patients in office to discuss insurance issues and cost of treatments outlining their financial obligation

  • Assist patients in obtaining financial assistance and in the financial assistance application process, Medical Assistance application process and financial hardship applications.

  • Obtain necessary documentation for financial hardship and review per practice guidelines with practice administrator.

  • Create and implement appropriate monthly payment plans and assist financially responsible persons in arranging payments.  Obtain proper signatures on forms.

  • Monitor and work with Front Office and patient to collect outstanding co-pay and or co-insurance payments for active treatment patients.

  • Communicate with appropriate Physician, Scheduler and Triage Nurse any concerns that would delay treatment.  

  • Monitor pending financial assistance applications until they are approved, enter financial assistance approvals in system, and notify billing dept of approvals.

  • Track financial assistance on spreadsheet and obtain additional funding if necessary once assistance has expired.

  • Monitor patient balances via their next scheduled visit and contact patients for payments. 

  • Seek out transportation assistance for patients in need

  • Knowledge of clerical processes, especially the computer; ability to communicate with co-workers and patients both orally and in writing; personable phone voice and attitude; people skills; organizational skills; time management skills; negation skills: ability to prioritize; responsible; attentive to details/thorough; team-player; ability to multi-task); Must have excellent communication skills, and be able to develop professional, service-oriented working relationships with patients. 

  • Medical Office experience, preferred.

  • To be successful as a financial counselor, a candidate must be confident in his/her knowledge of the field, so he/she may make decisions independently. Additionally, counselors interact with patients during stressful situations and, as a result, must communicate both effectively and tactfully.
